Steering Committee & Service Positions

Any member interested in serving the Fellowship either on the Steering Committee or another service position, please contact the Fellowship Coordinator and attend the next business meeting!
Duties & Requirements for the Bridging the Gap Coordinator

This is a Steering Committee position. Serve as liaison with the Briding the Gap (BTG) committees. See AA pamphlet P-49 – “Bridging the Gap – Between Treatment and A.A. Through Temporary Contact Programs” for a general introduction to BTG.

  • 1 year of continuous sobriety
  • 1 year commitment beginning in January
  • Serves as liaison between RRF members and local/District/Area and AA Bridging the Gap committees
  • Attends monthly local and other Bridging the Gap Meetings
  • Stays in touch with District 7 General Service and the district’s Bridging The Gap Chair
  • Serves as a resource to RRF members who seek volunteer opportunities in BTG
  • Experience in H&I a plus but not required
  • Attends monthly Steering Committee and RRF Business meetings.

Duties & Requirements for the Cleaning Coordinator

This is a Steering Committee position. Responsible for overall cleanliness of Rockridge Fellowship; maintains cleaning, kitchen, and bathroom supplies.

  • 2 years of continuous sobriety suggested
  • 1 year commitment beginning in July
  • Monitors the stock of all supplies to ensure that both bathrooms are adequately supplied with toilet paper, paper towels, hand soap, disinfectant cleaner, toilet bowl cleaner, mop/mop supplies, broom, dust pan, and sponges
  • Monitors the stock of all supplies to ensure that the kitchen is adequately supplied with dishwasher gel, jet-dri, paper towels, dish detergent, garbage bags, mop/mop supplies, broom, dust pan, Windex, disinfectant, and sponges
  • Monitors the overall cleanliness of the Fellowship: sets up cleaning responsibility schedule by meeting and ensures that all meetings regularly complete their assigned cleaning tasks
  • Monitors the smoking area and ensures meetings regularly clean this area
  • Purchases all necessary cleaning supplies and equipment or coordinates with Treasurer to get supplies.
  • Organizes and supervises bi-annual cleanups
  • May recruit others to assist on Cleaning Committee

Duties & Requirements for the Coffee Coordinator

This is a Steering Committee position. Responsible overall for coffee and tea supplies for Rockridge Fellowship.

  • 2 years of continuous sobriety suggested
  • 1 year commitment beginning in July
  • Performs inventory of coffee and tea supplies before shopping
  • Purchases coffee, tea, and other supplies
  • Monitors equipment and notifies coffee vendor of repairs or adjustments when needed
  • Stocks supplies upon/in appropriate shelves & containers
  • Educates people about proper procedures to minimize breakage & waste
  • Attends monthly Steering Committee and RRF Business meetings.
Duties & Requirements for the Events Coordinator

This is a Steering Committee position. Organizes special events for Rockridge Fellowship, traditionally including holiday BBQs, meeting marathons, potlucks, or other events (such as 80s Dance Night).

  • 2 years of continuous sobriety suggested
  • 1 year term beginning in January
  • Organizes events for holidays, such as Memorial Day, July 4th, Thanksgiving, Christmas
  • Organizes Rockridge participation in Central Office events such as All Groups Day
  • Organizes marathon meetings for Thanksgiving, Christmas and New Year’s holidays
  • May create and organize other special events
  • Keeps expenses within budget (generally around $300)
  • Recruits members to assist as needed
  • Attends monthly Steering Committee and RRF Business meetings.
Duties & Requirements for the Facilities Coordinator

This is a Steering Committee position. Responsible for maintenance and security of physical property: main fellowship building, garden rooms, outdoor areas.

  • 2 years of continuous sobriety suggested
  • 1 year commitment beginning in July
  • This position coordinates any necessary work and is not responsible for performing work hands-on (but may, if desired, perform smaller tasks, as per the below)
  • Responsible for alarm system; serves as main alarm contact
  • Updates building access codes as needed.
  • Contacts landlord’s property manager when maintenance or repairs are needed to determine course of action
  • Gets bids and selects company when repairs need to be hired out; oversees work
  • Responsible for physical issues relating to member safety, such as lighting
  • Purchases and maintains supply of various light bulbs; monitors and replaces bulbs when needed
  • Responsible for garbage and recycling
  • Responsible for physical functioning of indoor spaces, including furniture and related
  • Attends monthly Steering Committee and RRF Business meetings.
Duties & Requirements for the Fellowship Coordinator

This is a Steering Committee position. Responsible for the overall operations of Rockridge Fellowship. 

  • 5 years of continuous sobriety suggested
  • 2 year term beginning in July even years
  • Familiar with the Traditions and Concepts of AA; experience in AA business meetings.
  • Works effectively and professionally with other members of the Fellowship, as well as the Steering Committee; ensures positions are filled, initiates elections in June and December.
  • Member of the Safe Rooms Committee.
  • Serves as Chairperson for monthly RRF business and Steering Committee meetings; prepares and distributes agendas in advance of the meetings.
  • Negotiates business matters on behalf of the Fellowship.
  • Acts as signatory on the savings account.
  • Manages key distribution to secretaries and other trusted servants, including tracking keys and purchasing keys as needed.
  • Works with the Facilities Coordinator to ensure physical space is well maintained.
  • Is on the Bay Alarm call list.
  • Forms ad hoc committees to meet current needs of the Fellowship (e.g. the group inventory ad hoc committee)
  • Monitors the bulletin boards.
  • Serves as Director/President of the Rockridge Services Inc Board and attends quarterly meetings.
  • Maintains contact list of trusted servants.
  • May recruit Lost & Found person.
  • Attends monthly Steering Committee Meetings and monthly RRF Business Meetings
Duties & Requirements for the Grapevine Representative

Makes information about the Grapevine available to the Fellowship and encourages AAs to read it, write for it, record for it, subscribe to it, and use it in Twelfth Step work..

  • 6 months of continuous sobriety suggested
  • 1-year commitment beginning in January
  • Assures that the Fellowship has a subscription to the Grapevine
  • Sees to it that the magazine is clearly displayed
  • Lets the Fellowship know when a new issue is available.
  • Suggests ways that the Grapevine can be used for Twelfth Step work.
  • Encourages member participation by writing stories, submitting articles and pictures, and offering punch lines for the various cartoon contests.
  • Attends monthly Rockridge Fellowship Steering Committee Meeting
Duties & Requirements for the General Service Representative

This is a Steering Committee position. Represents Rockridge Fellowship at District and Area meetings.

  • 2 years of continuous sobriety suggested
  • 2-year commitment beginning in January of odd years
  • Attends District 07 monthly meeting and brings back pertinent information or announcements to the Fellowship business meeting
  • Attends 4 Area 06 assemblies a year
  • Attends Workshops on collecting and delivering group consciences
  • Reads the District 7 newsletter “comments and commentarios” that has pertinent information to take back to the group
  • Reports on the above at the monthly RRF Business Meeting
  • Voting member at Area CNCA 06 
  • Holds the agenda topics Group Conscience for the yearly General Service Conference 
  • Delivers Rockridge Fellowship’s  Group Conscience to our Area Delegate at the pre-conference assembly 
  • Attends monthly Rockridge Fellowship Steering Committee Meeting
Duties & Requirements for the H & I Coordinator

This is a Steering Committee position. Serves as liaison between Rockridge Fellowship and the Hospitals and Institutions (H&I) Committee.

  • 1 year of continuous sobriety
  • 1 year commitment beginning in January
  • Acts as liaison between the Rockridge Fellowship and our local H&I committee
  • Attends monthly H & I meetings
  • Posts all H&I correspondence on the bulletin board

Duties & Requirements for the Intergroup Representative

This is a Steering Committee position. Acts as liaison between Rockridge Fellowship and Central Office.

  • Attends monthly local district Intergroup meeting
  • Reports on Intergroup activities and 7th Tradition expenditures
  • Attends monthly Steering Committee and RRF Business meetings.
Duties & Requirements for the Literature Coordinator

This is a Steering Committee position. Responsible for maintaining the literature library for Rockridge Fellowship.

  • 2 years of continuous sobriety
  • 1 year commitment beginning in January
  • Maintains stock of literature and chips for Rockridge Fellowship
  • Prices books for sale
  • Marks library books as belonging to RRF
  • Maintains record of literature expense, separating library (meeting use) expense from for-sale literature expense
  • Reports literature usage, sales and expenses to Treasurer
  • Attends monthly Steering Committee and RRF Business meetings.
Duties & Requirements for the Lockup Coordinator

This is a Steering Committee position. Responsible for ensuring the security of the fellowship by training secretaries.

  • 2 years continuous sobriety suggested
  • 1 year position starting in July
  • Trains secretaries in lockup procedures
  • Has a key to all areas (gates, Handicapped access, inside rooms)
  • Is a Bay Alarm contact
  • Coordinates with Bay Alarm for the marathon meetings
  • Attends monthly Steering Committee Meetings and monthly RRF Business Meetings
Duties & Requirements for the Online Meetings Coordinator

This is a Steering Committee position. Responsible for administration of Rockridge Fellowship’s umbrella Zoom account which hosts 50+ online meetings; maintains online secretary contact list; works with Secretary and Technical Coordinators to ensure Meeting Guide information is correct and up to date.

  • 2 years continuous sobriety suggested
  • 1 year position starting in July
  • Holds workshops to train secretaries in Zoom best practices
  • Coordinates Zoom account(s) for all Fellowship-affiliated online meetings
  • Ensures accuracy of online listings for meetings
  • Works with Technical Coordinator to update listings as necessary
  • Works with Secretary Coordinator to maintain contact information for secretaries of online meetings
  • Attends monthly Steering Committee Meetings and monthly RRF Business Meetings
Duties & Requirements for the PI/CPC Representative

This is a Steering Committee position. PI/CPC is Public Information/Cooperation with the Professional Community.

  • 1 year of continuous sobriety
  • 1 year term beginning in July
  • Acts as liaison between Rockridge Fellowship and the local Pl/CPC committee
  • Attends local monthly Pl/CPC committee meeting (one Wednesday per month)
  • Reports on Pl/CPC activities at RRF Business meetings
  • Serves as a resource to Rockridge Fellowship members who seek volunteer opportunities in PI/CPC
  • Attends monthly Steering Committee Meetings and monthly RRF Business Meetings
Duties & Requirements for the Recording secretary

This is a Steering Committee position. Responsible for recording and distribution of Fellowship Business Meeting and Steering Committee minutes; maintains minutes archives; and keeps other Fellowship records.

  • 1 year of continuous sobriety
  • 1 year commitment beginning in January
  • Records minutes of monthly business meetings
  • Posts business meeting minutes on the bulletin board and distributes minutes to Steering committee members electronically prior to next business meeting
  • Distributes meeting minutes to the Technical Coordinator for posting to the Fellowship Website
  • Posts calls to election for open service positions on the bulletin board
  • Keeps a separate record of resolutions passed by the Steering Committee and at the RRF business meetings
  • Maintains minutes archive of current and past minutes
  • Attends monthly Steering Committee Meetings and monthly RRF Business Meetings
Duties & Requirements for the Safe Rooms Committee Chair

This is a Steering Committee position. Together with other committee members helps to resolve member issues as outlined in the Safety Policy, acting in accordance with the RRF Policy guidelines. There are 6 members total, plus the Fellowship Coordinator.

  • 5 year sobriety requirement
  • 18 month term
  • Will have served on the Safe Rooms Committee for a minimum of 6 months before being elected from within the Safety Committee to a 12-month term.
  • Be an active member of the Rockridge Fellowship
  • Respond and give input to incidents/complaints in a timely manner
  • Conduct fair and unbiased fact finding into conflict resolution
  • When necessary and decided by the committee, may speak directly with members involved in conflicts or exhibiting problematic behavior
  • Ability to be open-minded and see things from multiple perspectives
  • Ability to work cooperatively and respectfully with other committee members
  • Ability to keep information about member issues confidential
  • Calls for committee to meet on an emergency basis as needed

Duties & Requirements for the Secretary Coordinator

This is a Steering Committee position. Serves as contact between the Fellowship and meeting Secretaries. Collects and maintains secretary contact information; communicates important Fellowship matters to secretaries via email, clipboard announcements, WhatsApp, and flyers.

  • 2 years of continuous sobriety suggested
  • 1 year commitment starting in July
  • Conducts training sessions for new secretaries twice a year.
  • Acts as liaison between the Steering Committee and secretaries of individual meetings, both in person and online (currently 105 meetings)
  • Keeps contact information for all secretaries, both in person and online
  • Informs all secretaries of important events, announcements, changes in policy, procedures, etc.
  • Ensures that secretaries communicate the above to members at meetings.
  • May also post flyers or develop other ways of communicating directly with members
  • Encourages secretaries to attend monthly RRF business meetings
  • Maintains and updates Fellowship meeting schedule
  • Informs Technical Coordinator of new meetings added
  • Assists secretaries as needed
  • Can use Google Docs, Sheets; familiarity with MailChimp is a plus
  • Attends monthly Steering Committee Meetings and monthly RRF Business Meetings
Duties & Requirements for the Technical Coordinator

This is a Steering Committee position. Communicates with other coordinators as needed to ensure information is up to date and coordinators have access to tools. Serves as back up to and collaborator with the Website Tech and the Zoom/WhatsApp Tech, who maintain meeting listings, hybrid support and other needs as necessary.

Time commitment: 5-8 hours / month

  • 2 years of continuous sobriety suggested
  • 1 year term beginning in January
  • Attend monthly Steering Committee meeting (online only)
  • Attend monthly Fellowship business meeting (hybrid)
  • Use GSuite Admin to reset and create email addresses for Steering Committee members, including password resets and rotating emails when commitments change
  • Comfortable working with WordPress and Google Suite, including Google Drive, Sheets and Groups
    • No coding experience needed, but perfunctory knowledge of HTML + CSS is helpful
    • Comfortable reading technical documentation with screen shots and point and click instructions
  • Additional tasks as needed, including:
    • Supporting Treasurer with Venmo/PayPal
    • Creating WhatsApp groups
    • Sharing Zoom credentials with new online secretaries
    • Updating WordPress site with new fliers, business meeting minutes + maintaining meeting listings.
    • The above responsibilities are only addressed by the Technical Coordinator in the absence of a Website and/or Zoom Techs
Duties & Requirements for the Treasurer

This is a Steering Committee position. Responsible for all financial functions of Rockridge Fellowship. Serves as a Director on the Rockridge Services, Inc. Board.

  • 5 years of continuous sobriety
  • 2-year commitment, elected July of odd years
  • Must have a known source of income
  • Perform bookkeeping duties, pay bills and prepare monthly financial statements. 
  • Bring the most current financial statement to the business meetings each month and post the same on the bulletin board
  • Keep all receipts and financial records during the term of office, 
  • Monitors PO Box, collects mail and distributes as needed
  • Supervises Cashiers and Bookkeeper to ensure that 7th tradition cash collections are deposited and notated
  • Works with Compliance officer to file state and federal forms to maintain tax exempt status. prepare an annual report at the end of the term
  • Signatory on the checking and savings accounts
  • Reconciles the checking account on a monthly basis
  • Disburses funds for supplies and other purchases
  • Reconciles disbursements with receipts
  • Conducts business meeting if Fellowship Coordinator is not present
  • Serves as Director/Treasurer on the RSI Inc Board and attends quarterly meetings.

Duties & Requirements for the Workshop Coordinator

This is a Steering Committee position. Plans and implements special workshops for the Fellowship on topics relevant to sobriety.

  • 1 year of continuous sobriety suggested

  • Selects topics and organizes monthly workshops
  • Informs Fellowship of workshops via announcements and flyers
  • Coordinates with Secretary Coordinator & Technical Coordinator to make announcements

Duties & Requirements for the Bookkeeper

Works with the Treasurer and Cashier to record funds from 7th tradition, H&I, and literature.

  • 1 year of continuous sobriety

  • Should be proficient in creating and using spreadsheets
  • Reports to the Treasurer
  • Receives confirmed, empty 7″ tradition and literature envelopes from the Cashier
  • Enters amounts collected into spreadsheet, by meeting, day, and source
Duties & Requirements for the Cashier

Works with the Treasurer to collect and count 7th tradition, H&I and literature funds.

  • 2 years of continuous sobriety
  • 1 year commitment beginning in January
  • Must have a known source of income
  • Reports to the Treasurer
  • Collects 7th Tradition and literature envelopes from safe, weekly
  • Confirms amounts recorded on envelopes is correct
  • Transfers envelopes to the Bookkeeper
  • Deposits proceeds into checking accounts on weekly basis
Duties & Requirements for the Lost & Found

Duties & Responsibilities of the Lost & Found Wrangler

  • Maintains the Lost and Found drawer and  assures that the first aid drawer is kept supplied.
  • 6 months sobriety suggested
  • 1 year commitment beginning in January
  • Checks the Lost & Found drawer at least twice a month
  • Purges unclaimed items, donating when appropriate
  • Makes an inventory of necessary first aid supplies
  • Checks the first aid drawer at least twice a month to assure that supplies are available
  • Informs the Treasurer when fresh first aid supplies are needed.
  • Reports to the Fellowship Coordinator
Duties & Requirements for the Website Tech

This is an elected position. The Website Tech reports to the Technical Coordinator and maintains the Rockridge Fellowship website.

Time commitment: 2-3 hours/month

  • 1 year term
  • 1 year sobriety requirement
  • Regularly attends Rockridge Business Meetings.
  • Updates and maintains the website, including:
    • Updating meeting listings
    • Posting and removing flyers for events
    • Posting business and steering committee minutes and financials
Duties & Requirements for the Zoom/WhatsApp Tech

This is an elected position. The Website Tech reports to the Technical Coordinator and maintains the Rockridge Fellowship website.

Time commitment: 2-3 hours/month

  • 1 year sobriety requirement
  • 1 year commitment
  • Creates and manages the WhatsApp groups + supports Zoom access for online meetings
    • Works with the secretary coordinator to ensure the appropriate creation and spinning down of new groups for secretaries and other trusted servants
    • Managing permissions for the aforementioned
    • Works with the online meeting coordinator to ensure online meetings have access to the appropriate Zoom credentials
